How To Arrange A Successful Get Together; Tips for smooth arranging of a gtg

Firstly, anyone can start a thread to start a get together. Don't be shy. All you need to know is roughly where you live. If you are not sure of that you can ask a responsible adult or tomtom :P The worst that can happen is ridicule :)

Post a thread in this section with a rough area and see who bites. People may be willing to travel miles just to meet you :) so dont be too specific in your location. Ie, south west/london , south east, north etc will do fine for starters.

Wait until you have a few members interested and a few dates thrown about. Then someone should take the lead and organise all the date options and location options. Once it starts getting confusing and people are talking about when and where they can and cant make it you should start a multiple choice poll.

Start a new poll. List all the dates that may be possible, and change the 'single choice(1)' pulldown to be 'multi-choice(x)' using the number of poll choices for x. You can also add location on to the end of the poll so members can vote on the location rather than going round in circles. Remember to increase the number after 'multi-choice'

So in this example I added 5 dates and 4 locations to the poll choices, and chose 'multi-choice(9)' so a very flexible member (I cant believe I used that phrase in the normal course of a sentance) is allowed to vote for all options.

Now rather than just voting for the best option, they can vote for all the dates they can make, and vote against the ones they cant. Its much easier now to see which day will have the best turnout. And which location is most acceptable. You can ask a mod and the new poll can be merged into the original gtg thread, that way everyone gets notified when people vote or add to it. Also once decided a mod can put the date/location into the topic title.

When you want to get names you should start a list, by using the 'LIST' button. Anyone wanting to add themselves to a list that has already been started should 'QUOTE' the last post that contains the list and click on the 'ADD TO LIST' button. This stage should be done quite quickly to reduce the risk of others quoting the same list at the same time therefore making one of the posts reduntant. After adding your name you can add or edit your posts before clicking add reply.

Hopefully some general advice will follow this, but I just thought of the multi-poll so thought I would post. Feel free to ignore, these arent rules, its just a way to keep people focused and simplify the organising. This poll is an example but feel free to vote so you can see how it makes it easier.

Generally I would say leave a month or so to give people time to see it.
Try to arrange to stay at the initial meet location for an hour or so at least because people will get delayed.
Alert members to access issues like speed bumps.
Swap phone numbers at some point, and remove them from your posts afterwards (or ask a mod).
Always give postcodes and full address once confirmed. There is nothing worse than finding tomtom thinks the gtg is in an empty field !
Its nice to arrive together so convoys work well, dont detract for initial arrangings though.
Remember often members bring partners or offspring. Meetings at spearmint rhino or cockfighting rings are not advised :P
Find out if you can do any parts swaps, picking up bits and bobs at gtg's is great and saves postage.
TAKE LOT OF PHOTOS AND VIDEOS
Bring a tow rope and jumper cables :P

cheers, I am the worst at this kind of thing so anything that reduces complicated posts to a simple number helps me out :)

hehe, I did it because of the box hill and the previous 'will' one. Felt it was probably needed.

We have a new modification to the board coming soon which should help too.

I thought a few members may have problems with this stage. If you know where your front door is you can wait by the small slot until a man puts some post through it. You will normally find your address on it which you can then google to find out where abouts you are.

This can also be usefull for finding out your name although unless you live on your own its not foolproof. In fact, it never is.

I am off to apply for a new driving license under the name 'The Occupier' :)

Being a 'wet behind the ears newbie' I would like to know where my closest GTG would be for the West Midlands, is please? :)

Back in the dark ages when I first passed my test and owned my first car (1964 Morris Minor) I used to attend MMOC meetings at Donnington Park, at Castle Donnington, but it seems over the years Donny Park has got a bit 'up-itself' :huh: over how much they charge to provide facilites.

So is there a venue in my vacinity area that already hosts an annual existing GTG, that I can attend?
